Should you opt to revisit an unavailable site at another time, any expenses incurred will be the responsibility of the individual traveler. Khuta Tours is unable to integrate personal site revisits into the collective tour schedule.
Guests are welcome to select seats with acquaintances or relatives, provided they comply with the regulations regarding maḥrams, thereby ensuring a journey that aligns with Islamic traditions for all participants.
Engagements with individuals of the opposite sex should be conducted with the highest respect and in accordance with Islamic traditions, maintaining proper decorum in both conversation and behavior.
Adherence to mahram guidelines is expected across all activities, including coach travel, dining, walking tours, and gatherings.
Unauthorised private contact between group members, including the exchange of phone numbers or private messaging through platforms like WhatsApp, is strictly prohibited without prior approval from the Khuta Tours team, in order to safeguard the well-being of all travellers and uphold Shariʿ principles.
Non-compliance with our terms and conditions may lead to restrictions on future travel with us and, if necessary, further measures may be taken. We treat such matters with the utmost seriousness.
Respecting and adhering to the directives of Khuta Tours personnel, designated representatives, and leading scholars is imperative throughout the trip.
On occasion, we may have the chance to visit sites not initially included in our itinerary. If these sites require entry fees, travellers will be notified accordingly.
Travellers who choose not to participate in a site visit may wait in the coach or a designated area, typically for 30 to 90 minutes, allowing for individual preferences and rest opportunities.
Our tours include half-board dining, which comprises breakfast and evening meals.
Meals are generally served at the hotel, often buffet-style, offering a selection of options. Occasionally, dinners may be arranged at tour locations, as detailed in each trip's itinerary.
Please inform us of any specific dietary requirements at booking or well before departure. While we endeavor to meet these needs, failure to notify us in advance may result in additional costs to facilitate special arrangements.
Should a tour extend beyond the scheduled time, dinner will be provided upon return to the hotel, assuming prior arrangements have been made.
Unless specified in bespoke packages, lunch is not included in our tours and any lunches purchased during free time are at the attendee's expense.
It is advisable to carry personal snacks and beverages during tours to maintain sustenance between scheduled meals, particularly during extended excursions or waits.
On longer coach trips, water provision is not guaranteed by us, though it may be offered at our discretion. Travelers are encouraged to bring adequate water supplies.
Travel is subject to unpredictability, and delays may occur that affect meal times. In such cases, Khuta Tours is not responsible for missed meals, although we will attempt to arrange alternative solutions when possible. The cost of alternative meals falls to the traveler.
Tours may require significant walking, sometimes for extended periods. Assess your comfort level with such physical demands.
Some sites may have limited or no wheelchair access, potentially necessitating the omission of certain visits for those reliant on wheelchairs.
Costs associated with hiring mobility aids, such as buggies, are the traveler's responsibility. Khuta Tours bears no liability for these expenses.
Any hotel-provided mobility services are arranged directly between the traveler and the service provider, with no responsibility assumed by Khuta Tours.
Not all venues provide seating, so travelers requiring a seat for extended periods may wish to bring a portable chair.
Be prepared for varying infrastructure and terrain types by wearing suitable footwear for potentially uneven surfaces.
Ensure all medical needs, including conditions, disabilities, allergies, and medication storage, are communicated to us well in advance. While we strive to accommodate medical needs, the management and associated responsibilities of medication lie with the traveler.
Our staff can assist in locating pharmacies if needed, though travel costs to reach them are the traveler's responsibility.
Inform us of any allergies in advance, and ensure you are equipped to manage your own medication, possibly with assistance from a companion.
Alert staff immediately in case of urgent medical needs and familiarise yourself with local health services in advance.
Adhere to provided activity timings to ensure smooth group operations and enjoyable experiences.
Activities usually start after fajr, and travelers are expected to be prepared on time.
Inform staff of any anticipated delays as soon as possible. Individual delay adjustments are at our discretion.
Khuta Tours holds final authority on visit durations and tour timing, considering the group's overall experience and itinerary.
While we offer support, the traveler is ultimately responsible for securing internet access and should plan accordingly.
Exercise caution to avoid capturing other travellers in photos or videos without consent. Unauthorised images should be deleted and removed from online platforms if posted.
We produce content for online sharing, mindful of travelers' preferences regarding inclusion in videos. Notify us if you wish to be excluded or if accidental inclusion occurs, so we can edit the content appropriately. Our goal is to inspire and connect people with sacred sites and the Prophet's sīrah ﷺ.
We advise all travelers to secure comprehensive travel insurance before their journey to protect against unexpected events. A robust travel insurance policy can provide coverage for cancellations, missed departures, medical emergencies, personal injuries, loss or damage to possessions, and liability claims. Traveling without insurance means assuming full responsibility for any risks or financial losses that could have been mitigated by appropriate coverage. Travel insurance is crucial for covering cancellations and protecting against unforeseen events.
Please note that travel insurance is not part of your package with Khuta Tours, and obtaining it is the individual traveler's responsibility.
A booking is confirmed upon acceptance of our quote, agreement to pay the deposit, and receipt of a confirmation invoice from us.
We reserve the right to decline service and return payments at our discretion.
A binding contract is established once a booking confirmation is issued, confirming the details of your booking.
Agreeing on payment methods and plans is crucial during the booking process to ensure clear and hassle-free financial transactions.
All children under the age of 12 will receive a 50% discount on Khuta packages. If you are travelling with children, please detail how many are in your party and their ages in your submission form. We will always do our best to provide you the best pricing for your familial situation.
We primarily accept card payments, though bank transfers may be arranged with an added fee. Confirm your preferred method at the booking stage.
Adherence to agreed payment dates is critical. Failure to meet deadlines may result in removal from the tour, though we are open to discussing unforeseen circumstances.
Payments are only considered complete once received in our account. Uncleared payments are not recognised as fulfilled.
The total balance, including charges, is due no later than 15 days before departure. Late or incomplete payments may lead to cancellation.
Any desired changes to your booking should be communicated in writing as soon as possible by the lead passenger.
Modifications are subject to an administration fee and any extra costs due to rate changes or supplier expenses.
If we cannot accommodate a change and you do not proceed with the original booking, cancellation fees may apply.
Transferring your booking to another person is possible with written notice and may incur an administration fee and additional costs.
Written notification is required for cancellations, effective from the date we receive it.
Cancellation charges are based on the total cost payable by the canceling party, excluding amendment charges.
Certain bookings may incur up to 100% cancellation charges if altered or canceled.
The term "deposit" refers to the initial amount payable at booking, applicable to cancellation charges.
We will deduct cancellation charges from any payments already made.
We review unique situations on a case-by-case basis, balancing standard policies with flexibility.
Partial or full refunds may be granted on a discretionary basis, depending on the ability to recover costs from suppliers.
Submit a detailed request for a case-specific review, and we will consider it with fairness and customer satisfaction in mind.
